By the end of this guide, you will be able to generate a report for specific task templates (e.g. Asbestos Survey + Asbestos Monitoring Record) for a group of profiles (e.g. Buildings, People, Churches, Halls etc.) showing the most recent completion date for the task.
This feature is a helpful tool to keep track of tasks and their completion dates and makes it easy to identify gaps in your records
- Click on Profiles (#1) in the main navigation bar - This will reveal a drop-down list of options. Select the category of profile for your report. In our example, we will be generating our report for our "Buildings" (#2).
- If your profiles are broken into pages, click the page you wish to generate your report. In our case, buildings are broken down into Churches, Church halls, Parish Houses/ Presbytery and All. We're going to generate our report for the Churches page (#3).
- Click on the Export button (#4) - Once you are ready to generate your report, Click the export button located next to the search bar. This will give you a dropdown choice of either "Form Data CSV/Excel", "Task Data CSV/Excel" or "Task Status CSV/Excel".
- Select the "Task Data CSV/Excel" (#5) option - This will then prompt you to choose task templates to report against. You can choose one or more task templates.
Choose the Task Template/s - Search for the first specific task template you want to generate a report for, such as an asbestos survey. Select the chosen task template (#6), then repeat for a second task template (#7) if you wish to do so.
Note: if you want to produce large data sets with numerous task templates, you may wish to do so in smaller batches, then group them in Excel.
- Click "Export Buildings Task Report" - After selecting the task template, click on the "Export Buildings Task Report" button (#8).
This will generate an Excel CSV file that will be downloaded to your computer (#9). The data structure is simple and can be customised to your preference.
- Review the Report - In the report, you will see all of the buildings that were in the selected category, along with a column showing the last completed date of that particular task.
Note: If a blank space appears in the column, it means that the task either has not been added to the building profile, or it hasn't been completed.
