Video Guide to Uploading Attachments to a Task
This video provides step-by-step instructions on how to upload attachments to a task. It uses the Gas Safety Certificate as an example.
Uploading a file to a task
You may wish to upload certificates, invoices and other evidence of works completed, which relate to tasks. To do so, follow the instructions below:
1. First you will need to locate the task list by selecting Tasks from the header bar (#1 in the screenshot below).
2. Search for the task within the search bar (#2 in the screenshot below) and open it by clicking on the title of the task (#3 in the screenshot below).
2. Clicking on the task title will open the task page. From the task page, locate the attachments area (#4 in the screenshot below).
3. You can then either drag and drop the necessary files into the attachment window (#5 in the screenshot below), or click the green [+] button and locate your file from the file browser (#6 in the screenshot below).
4. Once uploaded, your task attachment will be shown in the attachment area (#7 in the screenshot below).
Downloading an Attachment
If you want to download an attachment for the most recently completed submission to a Task eg Gas Safety Certificate, find the task title in your Task List and click on the 'Last Completed' date.
1. To find an attachment to an earlier submission, click on 'View Submissions' (#1 in the screenshot below) and select the previous submission (#2 in the screenshot below).
2. Once you have opened the relevant previous submission. Locate the attachments section of the task (#3 in the screenshot below).
3. Select the three dots on the attachment you want to download (#4 in the screenshot below).
4. A small window will open like the one in the screenshot below. Click on 'Download' (#5 in the screenshot below) and check your 'downloads' folder. Note: Some computers will show the name of the downloaded document at the bottom of the screen. Click on it to open the download.
5. Under 'Tasks' you will find two links: the first (#6 in the screenshot below) will take you to the overview page for the profile you are working on, and the second (#7 in the screenshot below) will rapidly take you back to the submission within the task.
NOTE: If you wish to download a submission from a questionnaire, e.g. Building Checklist. At this point, you can review the questionnaire (#8 in the screenshot below) or download a PDF copy (#9 in the screenshot below).
Deleting an Attachment
1. To delete an attachment, click on the button with three dots (#1 in the screenshot below).
2. A small window will open as shown in the screenshot below. To delete the attachment, click on the red dustbin button (#2 in the screenshot below).
3. Another small window will open (as in the screenshot below) asking if you are sure you wish to delete this attachment.
4. Click 'Yes' to go ahead with deleting the attachment, or 'Cancel' if you change your mind.
Please remember that If you delete an attachment, it is permanent and irretrievable.
